Refund policy if you decide not to come

If Cyclorama is proceeding as planned but you decide not to attend for any reason:

If it’s before 1 August 2020 we will refund you what you paid less $50.

Refunds after this date at our discretion.

Refund Policy if we cancel the event.

We reserve the right to cancel the Cyclorama as a result of adverse conditions or any other unforeseen events or circumstances. Refunds for any cancellation will be made entirely at our discretion.

Factors that will be considered.

If Cyclorama is cancelled for reasons outside our control (for example extreme fire risk, terror attack, pandemic …) the maximum refund you will receive is 75% of the money paid. (This is to ensure that we can pay our set up costs and contractors for work already completed. Thus ensuring we can come back the following year.)

If the cancellation happens within days of the festival and caterers have already purchased supplies, some or all of these food costs will need to be deducted from your refundable amount. This may reduce the refund amount to 50%..

Covid Level’s Influencing Cancellation.

In Level 1 and 2 we believe we can proceed with appropriate precautions and protocols. In level 3 or 4 we would need to cancel the festival and the above cancellation policies would apply. (Please note – the Covid guidelines are subject to change by the Government at any time)

In order to ride on any of the Cyclorama trails, you are required to sign a waiver form which includes your contact details, DOB and emergency contact name and number. As many of the rides are unaccompanied, you are responsible for ensuring you keep to the trails and stay safe. We will  provide maps and a phone number to call if you find yourself lost or in trouble.

Cyclorama has implemented traffic management in many areas, but not everywhere so please ensure you know the rules of the roads/ trails.

Where you have a guide, they are there for information purposes and while they will carry a small first aid kit, they are not responsible for your safety on the bike.

Our Health and Safety team will be available across the trails over the weekend if anyone requires medical assistance, but it’s up to you to alert us of any accident or  incident by using the numbers provided. You could consider using the Trailforks app so you are always able to identify your exact location.

Helmets are required to be worn on all e-bikes. And we recommend gloves and suncream. And carrying a charged and turned on cellphone.

Cycling under the influence of alcohol is not recommended or in any way suggested. We have alternative transport options if you do find that you’ve over indulged whilst on one of Cyclorama’s  trails.

Cyclorama has a zero tolerance policy towards any drug taking that is not prescription related. Any prescription drugs taken should be made aware to the team on registration.

In the event where you feel unwell or are showing symptoms of Covid-19, please follow government advice and stay at home. We are happy to discuss refunds on a case by case basis.

Masks are not mandatory, but we welcome those riders who would prefer to wear a mask.

Please scan in at the Cyclorama Village and other venues, turn your bluetooth on.

If you are hiring a bike through us you understand that we can’t promise you a particular brand or model. The bike rental companies have slightly different hire agreements and you will need to sign one on the day and provide a credit card for any bike damage or extras. Please turn up at least 15 minutes before the start time of your ride to collect your e-bike.

You agree that photos or video of you that we take can be used to help us promote next years event. We will not use the photos or video for paid advertising purposes.

The Cyclorama rides involve access across land owned or administered by a variety of parties…Queenstown Lakes District Council, Queenstown Trails Trust, Department of Conservation, QEII National Trust, Land Information New Zealand and various local landowners. We have spent a considerable amount of time arranging access for Cyclorama, but it is possible that we may have to make an alteration to a route or a destination. If we consider this change to be significant we will advise you and offer you the option of going ahead with the ride or receiving a refund.

We will collect your name and contact details, age range, gender, where you live and any correspondence that you enter into with us.

We will not have your credit card details as they will be captured directly by TryBooking who will deal with your personal information in accordance with the Privacy Act and their privacy policy.

We will use your personal information to

  • provide you with information and services about products or rides you request or sign up for.
  • contact you for follow up surveys.
  • contact you about future Cyclorama events.

Sharing your personal information.
We will not sell or rent your personal information to any third party. But we may share it with our  Health and Safety team for the duration of the Cyclorama event only.
