Refund Policy if we cancel the event.
We reserve the right to cancel Cyclorama as a result of adverse conditions or any other unforeseen events or circumstances.
For any cancellation of the event before or on 30 September we will refund you 100% of your ticket purchase, but not the booking fee.
If we cancel the event after 30 September 2023 we reserve the right to keep up to 20% of your ticket price purchase to help pay our contractors, in particular food providers.
If you decide not to attend for any reason:
If you cancel before or on 30 September 2023 we will refund you what you paid less $50 for administration costs + booking fees.
Refunds after this date at our discretion.
Covid Level’s Influencing Cancellation.
If we can’t proceed due to a change in level protocols or official advice then event will be cancelled and the refund policy above will apply .
In order to ride on any of the Cyclorama trails, you are required to sign a waiver form which includes your contact details, DOB and emergency contact name and number. As many of the rides are unaccompanied, you are responsible for ensuring you keep to the trails and stay safe. We will provide maps and a phone number to call if you find yourself lost or in trouble.
Cyclorama has implemented traffic management in many areas, but not everywhere so please ensure you know the rules of the roads/ trails.
Where you have a guide, they are there for information purposes and while they will carry a small first aid kit, they are not responsible for your safety on the bike.
Our Health and Safety team will be available across the trails over the weekend if anyone requires medical assistance, but it’s up to you to alert us of any accident or incident by using the numbers provided. You could consider using the Trailforks app so you are always able to identify your exact location.
Helmets are required to be worn by all riders. We recommend gloves and sunblock. Your phone should be charged and turned on.
Cycling under the influence of alcohol is not recommended or in any way suggested. We have alternative transport options if you do find that you’ve over indulged whilst on one of Cyclorama’s trails.
Cyclorama has a zero tolerance policy towards any drug taking that is not prescription related. Any prescription drugs taken should be made aware to the team on registration.
In the event where you feel unwell or are showing symptoms of Covid-19, please follow government advice and stay at home. We are happy to discuss refunds on a case by case basis.
Masks are not mandatory, but we welcome those riders who would prefer to wear a mask.
You agree that photos or video of you that we take can be used to help us promote next year’s event. We will not use the photos or video for paid advertising purposes.
The Cyclorama rides involve access across land owned or administered by a variety of parties – Queenstown Lakes District Council, Queenstown Trails Trust, Department of Conservation, QEII National Trust, Land Information New Zealand and various local landowners. We have spent a considerable amount of time arranging access for Cyclorama, but it is possible that we may have to make an alteration to a route or a destination. If we consider this change to be significant we will advise you and offer you the option of going ahead with the ride or receiving a refund.
We will collect your name and contact details, age range, gender, where you live and any correspondence that you enter into with us.
We will not have your credit card details as they will be captured directly by Event Plus, who will deal with your personal information in accordance with the Privacy Act and their privacy policy.
